Job Description
Position Summary:
An Office Assistant provides administrative, clerical, and organizational support to ensure the smooth functioning of daily office operations. The role involves handling a variety of tasks such as filing, data entry, managing office supplies, attending phone calls, and assisting senior staff. A successful candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment. The Office Assistant plays a key supporting role and is often the first point of contact for internal and external stakeholders, making professionalism and communication skills essential.
Key Responsibilities:
1. Administrative Support
- Perform routine clerical and administrative duties, including photocopying, scanning, filing, and organizing documents.
- Handle data entry, maintain records, and update databases as needed.
- Assist with the preparation of reports, presentations, and correspondence.
2. Front Desk & Communication
- Answer and direct phone calls in a polite and professional manner.
- Greet visitors and clients, provide them with information, and direct them to the appropriate person or department.
- Manage incoming and outgoing mail, couriers, and deliveries.
3. Office Coordination
- Monitor and maintain office supplies inventory; place orders as needed and verify deliveries.
- Ensure the cleanliness and organization of the office environment, coordinating with housekeeping staff.
- Assist in organizing company events, meetings, or training sessions by preparing materials and managing logistics.
4. Support to Departments
- Provide assistance to departments like HR, Finance, Sales, or Operations when needed.
- Help with document preparation for invoicing, purchase orders, or HR files.
- Coordinate with vendors, service providers, and maintenance teams when required.
5. Filing and Documentation
- Maintain both hardcopy and electronic filing systems for easy document retrieval.
- Label, categorize, and archive documents in an orderly manner for audit and compliance purposes.
- Ensure confidentiality of sensitive information.
6. Miscellaneous Duties
- Run errands such as banking, post office tasks, or picking up supplies.
- Support management or executives with travel bookings, meeting arrangements, or administrative tasks.
- Perform any additional tasks assigned by supervisors to support the team.
