Job Summary
The Content Copyright and Proofreading Executive plays a vital role in ensuring all written content produced by a company or organization is legally protected, original, grammatically correct, and aligned with brand standards. This role is a combination of legal content oversight and editorial quality control. The individual is responsible for checking content for plagiarism, ensuring proper attribution, verifying copyright permissions, and proofreading for spelling, grammar, punctuation, clarity, and consistency. This position is ideal for candidates with a keen eye for detail, a deep understanding of intellectual property laws, and strong language editing skills. The Content Copyright and Proofreading Executive works closely with content creators, legal teams, marketing departments, and external writers or agencies.
Key Responsibilities
1. Content Review and Proofreading
- Review all written content (articles, blogs, reports, web copy, social media posts, scripts, brochures, etc.) for spelling, grammar, punctuation, and typographical errors.
- Ensure clarity, consistency, tone, and style in line with the company s editorial and brand guidelines.
- Edit and rewrite content for readability, structure, and engagement without changing the core message.
- Maintain content formatting, structure, and style guide adherence across all documents.
2. Copyright and Intellectual Property Compliance
- Ensure all content used (text, images, videos, audio, data, etc.) complies with copyright laws and regulations.
- Verify proper attribution is provided for third-party content, quotations, research references, and images.
- Liaise with content creators to secure permissions, licenses, or usage rights where necessary.
- Monitor use of trademarks, copyrights, and other intellectual property in marketing materials to avoid legal infringements.
3. Plagiarism Detection and Content Originality
- Use plagiarism detection tools (e.g., Copyscape, Grammarly, Turnitin) to verify the originality of written content.
- Flag and revise content found to be duplicated or overly similar to third-party work.
- Educate team members on best practices in content originality, paraphrasing, and citation.
4. Content Approval and Quality Assurance
- Act as a gatekeeper for all content before it is published or distributed externally.
- Maintain an approval checklist and track content versions to prevent publication of outdated or incorrect material.
- Collaborate with writers, editors, designers, and marketers to maintain high-quality standards.
5. Documentation and Record-Keeping
- Maintain a repository of approved content, including copyright documentation and licensing agreements.
- Keep detailed logs of any flagged issues, edits made, and permissions obtained.
- Assist in building and updating content style guides and copyright compliance manuals.
6. Cross-Departmental Collaboration
- Work with the legal department to stay up to date with copyright changes and content usage laws.
- Coordinate with marketing, PR, and product teams to ensure all outbound content is error-free and legally compliant.
- Provide content-related support for internal communications, presentations, and training materials.
