Job Description
Job Summary:
We are looking for a well-presented, professional, and friendly Receptionist to join our team. The receptionist is the first point of contact for visitors, clients, and staff and plays a crucial role in creating a welcoming and organized environment. This role requires excellent communication skills, a pleasant personality, and the ability to multitask in a front-desk or office setting. As the face of the organization, the receptionist handles incoming calls, schedules appointments, greets guests, maintains office supplies, and supports administrative tasks to ensure smooth day-to-day operations.
Key Responsibilities:
1. Front Desk Management
- Greet visitors, clients, and employees in a warm and professional manner.
- Maintain a clean, organized, and welcoming reception area.
- Ensure guests sign in/out and are directed to the appropriate person or department.
- Issue visitor passes and manage guest appointments or waiting areas.
2. Telephone Handling
- Answer, screen, and forward incoming phone calls politely and efficiently.
- Provide basic information over the phone regarding the company, services, or office location.
- Take and relay accurate messages when necessary.
- Manage intercom and internal call transfers.
3. Appointment and Calendar Management
- Schedule and confirm appointments for management or departments.
- Maintain meeting room availability and usage calendar.
- Inform staff of guest arrivals and ensure timely coordination with relevant departments.
- Assist in coordinating interviews, meetings, or client visits.
4. Office Coordination
- Handle incoming and outgoing mail, couriers, and deliveries.
- Keep records of received documents, parcels, and packages.
- Monitor and maintain front-desk supplies like notepads, pens, visitor forms, etc.
- Coordinate with housekeeping staff for cleanliness and office upkeep.
5. Administrative Support
- Maintain employee and visitor logs, attendance registers, and contact lists.
- Support HR or Admin teams with clerical duties such as filing, photocopying, scanning, and document preparation.
- Assist in compiling data or formatting documents when required.
- Help in preparing welcome kits or ID badges for new joiners.
6. Communication and Etiquette
- Maintain professional behavior and appearance at all times.
- Provide courteous assistance to all staff, clients, and guests.
- Ensure confidentiality and security protocols are followed at the reception.
- Notify the concerned team in case of any unusual activities or emergencies.
