Job Description
Job Summary
We are seeking a responsible and organized Computer Operator to join our team. The ideal candidate should have basic working knowledge of MS Word, MS Excel , and should be able to use WhatsApp and email efficiently to communicate with clients and team members. This is a back-end support role that primarily involves generating quotations , maintaining client communications, and assisting with simple documentation tasks related to pricing and sales. The role is well-suited for individuals with a basic understanding of computer operations who are reliable, detail-oriented, and eager to contribute to smooth business operations.
Key Responsibilities
1. Quotation Generation
- Prepare product quotations using MS Word based on client inquiries and price lists.
- Customize quotation formats with company branding, client details, and relevant product specifications.
- Maintain an organized folder system for all quotations sent, categorized by date and client name.
- Make necessary revisions to quotations as per updated pricing or client feedback.
2. Product Rate Sharing and Client Communication
- Share product prices, offers, and updates with clients through WhatsApp , email , or as directed.
- Respond to basic client queries about product availability, pricing, and documentation.
- Maintain polite, professional, and timely communication at all times.
3. Back-End Office Support
- Maintain records of quotations, pricing sheets, and client correspondence in a structured and secure format (digital or hard copy).
- Enter and update data in Excel sheets such as client contact lists, quotation logs, and product rate sheets.
- Assist the sales or admin team in printing, filing, or organizing necessary documentation.
- Support other departments with basic typing, formatting, or printing tasks when required.
4. Email and WhatsApp Coordination
- Send quotations and follow-up messages to clients via email and WhatsApp.
- Maintain a record of all communication for internal tracking.
- Check and respond to official emails promptly, and escalate important messages to the concerned team members.
- Assist in sending bulk messages or promotional content to clients under the guidance of the sales team.
5. Basic Computer Support
- Perform basic troubleshooting on office systems like printers or document formatting.
- Support in the creation and formatting of Word and Excel files as per office requirements.
- Ensure that the office computer and data files are well-maintained and backed up regularly.
Required Qualifications
Education:
- High school diploma (10 2) minimum; a graduate degree is a plus.
- Basic computer training or certification is preferred.
Experience:
- Freshers with good typing speed and basic computer proficiency are welcome to apply.
Skills:
- Basic knowledge of Microsoft Word creating/editing documents, tables, formatting quotations.
- Basic knowledge of Microsoft Excel data entry, simple formulas, formatting spreadsheets.
