Job Description

Vendor Ecosystem Management: Locate, bargain with, and keep an eye on outside service providers, such as corporate transportation, catering, security, deep cleaning teams, and building maintenance specialists. Inventory and Consumables Control: Ensure accurate inventory management and stock replacement for printed forms, office supplies, pantry items, and corporate branding materials. Invoicing and Budget Reconciliation: Gather, check, and handle monthly administrative bills, creating accurate records for the accounts desk. Front-Office & Reception Oversight: Oversee the front desk setting, making sure that professional visitor greeting procedures, timely call routing, and well-organized incoming/outgoing courier logs are followed. Travel & Hospitality Coordination: Make reservations for business team members' domestic and foreign travel, including flight monitoring, hotel bookings, taxi dispatch scheduling, and assistance with visa processing. Required Skills: Vendor Negotiation & Liaison Depth: The capacity to assess service quotes, bargain for reasonable costs, and hold service providers to stringent deadlines. Office Software & Spreadsheet Literacy: Strong ability to create asset trackers, manage inventory files, and write official office communications using Microsoft Word, Excel, and PowerPoint. Resourceful Problem-Solving Agility: The ability to quickly and calmly handle urgent workplace problems, such as handling a sudden power outage, plumbing leak, or catering shortfall. Polished Interpersonal Coordination: Communicate with top management, staff, and utility personnel in an approachable, professional, and transparent manner.
